DP World Australia (DPW) is one of the largest marine terminal operators in the world with 42 terminals and 13 new developments across 27 countries.  Its dedicated, experienced and professional team serves more than 30,000 customers in some of the most dynamic economies in the world.

In Australia, DP World is the largest marine terminal operator with more than 700 staff and marine terminals in all major Australian cities.

Project Overview
DP World Australia engaged Change Corporation to upgrade its Intranet environment, supporting 680 users across five locations in Australia. 

The Intranet was based on Windows SharePoint Services 2003 environment transitioning to Microsoft Office SharePoint Server 2007 (MOSS 2007) and contained more than 200 sites, excluding the company’s MySites (individual employee customised sites), with more than 5000 files.

The project was structured in four phases; definition and design; build and testing; transition; and Go Live support. At Go Live, 12 people had been trained as power users, including administrators, to support future users during the staggered roll out of the new Portal.

Client Requirements
The immediate and short term objectives for the new portal were to:

  • Move away from the traditional Intranet approach by introducing the concept of a corporate Portal;
  • Improve usability of the new portal and make it the ‘go to place’ for all corporate related matters ranging from:

    HR:  Staff related matters such as new joiners, leavers, expenses and travel;
    Finance and Accounting: Capital expenditure, business performance and reporting;
    Commercial: Client information and contracts;
    Operations: Terminal information and safety matters;
    Corporate information: News, events, and executive   team; and
    Directorates.

  • Make the portal more accessible, and information easier to retrieve by taking a functional instead of hierarchical approach;
  • Establish processes around the storage and versioning of templates and documents; and
  • Move away from an inefficient and costly paper-based workflow by leveraging SharePoint lists and forms.

Apart from serving DPW Australia’s users, the new portal was used to demonstrate its potential to DPW globally and introduce new concepts to the rest of the organisation. In addition to meeting technology and end user business requirements, the deliverables included training and documentation in order for DPW to be self sufficient during the roll out of the solution.

Our Solution
Change Corporation advised DPW on the use and deployment of Microsoft Office SharePoint Server, its architecture and integration with third party products, and Oracle based back-end systems.
 
A separate initiative was undertaken for the Oracle integration involving the design, build and deployment of a MOSS Portal Reporting Solution to be accessed by DPW’s internal and external stakeholders.

Change Corporation worked closely with DPW’s IT staff on the deployment and configuration of all hardware and software infrastructure.
 
Business Benefits
In the three months following Go Live, all users started accessing the portal with the home page receiving 500-600 hits daily in the last month of the roll out.

DPW has since added Form and Windows based workflow features allowing for staff to order stationery, consult leave balances and process expense claims. The project was delivered ahead of schedule and budget which allowed for the inclusion of additional reporting and workflow functionality after Go Live.
